5. B2B Email Verification and Validation
Trailblaze Data provides technology designed to evaluate email addresses and associated technical information.
Depending on the Services selected, our verification process may analyze:
- Email syntax
- Domain validity
- Domain configuration
- Mail exchange records
- Mail server availability
- Mailbox availability
- Catch-all domains
- Disposable or temporary email addresses
- Role-based addresses
- Known risk indicators
- Deliverability-related signals
- Other technical indicators relevant to email validity
Verification results may classify email addresses as valid, invalid, risky, unknown, disposable, catch-all, or using similar classifications.
B2B email verification is based on information available at the time verification occurs. Trailblaze Data cannot guarantee future deliverability or continued validity of an email address.
Automated Processing
Verification is carried out by automated technical checks rather than by human review, and the resulting classification is an assessment of an email address and its supporting mail infrastructure. Trailblaze Data does not use this processing to make decisions about a person's eligibility for credit, employment, housing, insurance, or any other benefit, and the Services are not designed or licensed for those purposes. Verification output is returned to the customer that requested it, and the customer decides what, if anything, to do with it.
6. Customer Responsibility for Uploaded Data
Customers are responsible for Customer Data submitted to Trailblaze Data.
By submitting Customer Data, customers represent that they:
- Obtained the information lawfully
- Have the right to process the information
- Have the right to provide the information to Trailblaze Data
- Have provided any legally required notices
- Have an appropriate lawful basis for processing
- Will comply with applicable privacy and data-protection laws
- Will comply with applicable marketing and anti-spam laws
Verification of an email address by Trailblaze Data does not constitute consent or authorization to contact that individual.
Customers remain responsible for determining whether they may lawfully communicate with any email address.
7. How We Share Information
Trailblaze Data uses trusted service providers to help operate our business and Services. Providers are permitted to process information only as necessary to provide services to Trailblaze Data and subject to applicable contractual and legal requirements.
The categories of provider we use, and the providers currently used to operate this website and the Services, are published and kept current on our subprocessor register. At the date of this Privacy Policy they include:
| Provider | Purpose | Location |
|---|---|---|
| Netlify, Inc. | Website hosting, content delivery, and handling of the forms submitted on this website | United States |
| Google LLC (Google Fonts) | Delivery of the web fonts used by this website. Your browser requests these files directly from Google, which receives your IP address and request headers as a result. | United States and global edge network |
We also use providers for cloud infrastructure, data storage, cybersecurity, payment processing, customer support, authentication, email communications, monitoring and logging, and professional services such as legal and accounting advice. The subprocessor register is the authoritative list.
We may also disclose information when reasonably necessary to:
- Comply with applicable law
- Respond to lawful government requests
- Respond to subpoenas or court orders
- Investigate fraud or abuse
- Protect our customers
- Protect Trailblaze Data
- Enforce our agreements
- Establish or defend legal claims
Categories of Third Parties
Personal information may be disclosed to the service-provider categories described above, to professional advisers, to payment processors, to a party involved in a corporate transaction as described in section 17, and to government authorities, courts, or regulators where disclosure is legally required. We do not disclose personal information to advertising networks or data brokers.
8. No Sale or Sharing of Personal Information
Trailblaze Data does not sell personal information, and does not share personal information for cross-context behavioral advertising, as those terms are defined under the California Consumer Privacy Act as amended and comparable United States state privacy laws. This applies both to Customer Data submitted for verification and to the information we collect about visitors to this website and prospective customers.
Trailblaze Data does not acquire ownership of a customer's email list merely because the information is submitted to our Services, and does not offer Customer Data as an independent data-broker product.
Customers retain their rights in Customer Data, subject to the limited rights necessary for Trailblaze Data to provide, maintain, secure, and support the Services.
Because we do not sell or share personal information, there is no opt-out for you to exercise. We honor the Global Privacy Control and comparable opt-out preference signals as a matter of course, and we do not use them to serve advertising.
9. Data Retention
We retain information only for as long as reasonably necessary to provide the Services, fulfill the purposes described in this Privacy Policy, meet contractual obligations, protect our Services, or comply with applicable law.
Our current retention practice is set out below. Where a longer period is required by law, or where information is reasonably needed to resolve a dispute, prevent fraud, or enforce our agreements, we retain it for that longer period.
| Information | Retention period |
|---|---|
| Uploaded files and verification results in a customer account | Retained while the account is open so the customer can access results, and deleted when the customer deletes them. Customers can delete uploaded files and results from the account at any time. |
| Uploaded files and verification results after an account is closed | Deleted within 30 days of account closure |
| Free trial uploads made without an account | Deleted within 30 days of upload |
| Account and profile information | Retained while the account is open, then deleted within 90 days of account closure |
| Billing, invoicing, and tax records | 7 years from the end of the relevant tax year, as required by tax and accounting rules |
| Server, access, and API logs | 12 months |
| Security and fraud-prevention records | 24 months, or longer where an active investigation requires it |
| Website form submissions (contact, demo, API documentation, partner) | 24 months from the last related communication |
| Job applications for candidates who are not hired | 12 months from the hiring decision, unless you ask us to delete it sooner or agree to a longer period |
| Marketing contact records | Until you unsubscribe or object, and for 24 months thereafter to honor your suppression request |
| Encrypted backups | Overwritten on a rolling cycle and fully purged within 90 days |
When a retention period expires, information is deleted or irreversibly anonymized. Information already written to an encrypted backup is removed as that backup cycles out rather than being extracted from the backup individually.
10. Data Security
Trailblaze Data uses reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, disclosure, alteration, destruction, loss, or misuse.
Depending on the nature of the information and Services, safeguards may include:
- Encryption in transit
- Encryption at rest
- Access controls
- Authentication controls
- Logging and monitoring
- Infrastructure security
- Employee and contractor confidentiality requirements
- Security reviews
- Incident-response procedures
The measures we commit to in a processor capacity are described in Annex II of our Data Processing Agreement. If you believe you have found a vulnerability in our website or Services, please report it as described in our security and vulnerability disclosure policy.
No online system can be guaranteed to be completely secure. Where a security incident affects your personal information and applicable law requires it, we will notify you and, where required, the relevant supervisory authority or state regulator without undue delay.
11. International Data Transfers
Trailblaze Data is established in the United States and processes personal information in the United States. Our service providers may process information in the United States and, in the case of content-delivery and font networks, at edge locations in other countries.
Where personal information is transferred out of the European Economic Area, the United Kingdom, or Switzerland, we rely on a legally recognized transfer mechanism, which may include the European Commission Standard Contractual Clauses, the UK International Data Transfer Addendum, an adequacy decision, or another mechanism permitted by applicable law. The transfer terms that apply when we act as a processor are set out in section 15 of our Data Processing Agreement.
You may request information about the transfer mechanism applicable to your personal information by contacting privacy@trailblazedata.com.
12. Your Privacy Rights
Depending on where you reside, you may have certain rights regarding your personal information.
These may include the right to:
- Request access to the personal information we hold about you
- Request correction of inaccurate personal information
- Request deletion of your personal information
- Obtain a copy of your information, or request portability
- Know the categories of information we collect, the sources, the purposes, and the categories of recipients
- Restrict certain processing
- Object to certain processing, including processing based on legitimate interests
- Withdraw consent where processing is based on consent
- Opt out of targeted advertising, sale, or profiling with legal effects — activities we do not carry out
- Not be discriminated against for exercising a privacy right
- Appeal a decision we make about a privacy request
These rights may arise under laws including the GDPR, the UK GDPR, the California Consumer Privacy Act as amended by the California Privacy Rights Act, and other applicable state and national privacy laws.
How to Make a Request
Email privacy@trailblazedata.com with the word “Privacy Request” in the subject line, or write to Trailblaze Solutions LLC, Attn: Privacy, 2500 Morris Ave, 1st Floor, Union, NJ 07083, United States. You may also call 888-628-9316. Please tell us what right you want to exercise and give us enough detail to locate your information.
Verifying Your Identity
Before we act on a request we need to be reasonably certain who you are, so we may ask you to confirm information we already hold, such as the email address associated with an account or a recent transaction. We will not ask for more information than is necessary to verify the request, and we use anything you provide for verification only. If we cannot verify a request, we will tell you why.
Authorized Agents
You may use an authorized agent to submit a request on your behalf. We will ask the agent for written proof of authorization, and we may ask you to confirm directly that you authorized the request.
Our Response Times
We acknowledge requests within 10 business days and respond substantively within 45 calendar days. Where a request is complex or we receive several from you, we may extend that period by a further 45 days and will tell you before we do. Where the GDPR or UK GDPR applies, we respond within one month and may extend by two further months for complex requests. Requests are free of charge unless they are manifestly unfounded or excessive, in which case we will explain any fee before proceeding.
Appeals
If we decline a request in whole or in part, you may appeal by replying to our decision or by emailing privacy@trailblazedata.com with “Privacy Appeal” in the subject line. An appeal is reviewed by someone who was not responsible for the original decision, and we respond within 45 days of receiving it, explaining the outcome and the reasons for it. If we deny your appeal, we will tell you how to contact the relevant state attorney general or regulator.
Complaints to a Regulator
You always have the right to complain to a supervisory or regulatory authority. In the European Economic Area or the United Kingdom, you may complain to the data protection authority in the country where you live or work, or where the alleged infringement occurred. In the United States, you may contact the attorney general of your state.
Requests About Customer Data
If Trailblaze Data processes your information solely on behalf of one of our customers, that customer decides how the information is used. We will refer your request to that customer and assist them in responding, and we will tell you that we have done so where we are permitted to.
13. Marketing Communications
You may opt out of promotional communications from Trailblaze Data by using the unsubscribe mechanism included in the applicable communication, or by emailing privacy@trailblazedata.com.
We may continue sending communications necessary for account administration, transactions, security, legal compliance, or provision of the Services.
14. Cookies and Similar Technologies
Trailblaze Data uses cookies and similar technologies for website functionality, authentication, security, user preferences, and — where you consent — measurement and analytics.
This website uses Google Analytics 4, which sets third-party analytics cookies. It does not use advertising cookies. Where required by applicable law, we will obtain consent before setting any non-essential cookie.
Our Cookie Policy lists each cookie and similar technology in use, what it does, how long it lasts, and how to control it. It also explains the referral cookie used by our partner program and the third-party font requests made by every page on this site.
15. Job Applicants
When you apply for a role at Trailblaze Data we use your application to assess your suitability for the role you applied for and for other roles you may be a good fit for, to communicate with you about your application, to arrange interviews, and to keep a record of our hiring decisions.
Your application is seen by the people involved in hiring for that role and by the service providers that host our website and deliver our email. We do not use automated decision-making to screen or reject applications, and we do not share your application outside Trailblaze Data except where we are legally required to.
We keep applications from candidates we do not hire for 12 months from the hiring decision so that we can consider you for future openings and answer any questions about the process. You can ask us to delete your application at any time by emailing privacy@trailblazedata.com, and we will do so unless we are required to keep it. If you are hired, your application becomes part of your employment record and is retained under our employment record practices.
Please do not include sensitive personal information in your application — such as health information, racial or ethnic origin, religious beliefs, or political opinions — because we do not need it to assess you.
16. Children's Privacy
Trailblaze Data's Services are intended for businesses and professionals and are not directed toward children. The Services are not available to anyone under 18, and we do not knowingly solicit children to create accounts or use the Services.
If you believe a child has provided personal information to us, contact privacy@trailblazedata.com and we will delete it.
17. Business Transfers
Information may be transferred in connection with a merger, acquisition, financing, restructuring, sale of assets, bankruptcy, or similar corporate transaction, subject to applicable privacy and confidentiality requirements. Where required by applicable law, we will notify you before your personal information becomes subject to a materially different privacy policy.
18. Third-Party Links and Services
Our website and the Services may link to or integrate with services operated by other companies, including the platforms listed on our integrations page. Those services are governed by their own privacy policies, and this Privacy Policy does not apply to them. When you connect an integration, you authorize the exchange of data between that platform and Trailblaze Data described at the point of connection.
19. Changes to This Privacy Policy
We may update this Privacy Policy periodically.
When changes are made, we will update the version number and the “Effective” and “Last Updated” dates shown at the top of this page.
Where changes are material, we will provide additional notice before they take effect — by email to account holders, by a notice on this website, or both — and where the law requires your consent to a change, we will ask for it. Prior versions are available on request from privacy@trailblazedata.com.
